What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture may be visible to the public in the context of your comment.

Media

If you upload images to the website to offer feedback, we advise taking screenshots. For your own peace of mind, please ensure your screenshots do not contain any personally identifiable data. PicTrax admin staff will handle all sensitive information with confidentiality unless submitted screenshots reveal a crime may have been committed.

Contact forms

Contact forms are used in this website to ensure appropriate inquiries and appropriate information is supplied to the correct recipient/s. Information submitted in contact forms will not be input into marketing databases or customer relationship management unless permission to do so is sought and approved within the form.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year. If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed. If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Analytics

Google analytics will track users’ activity on this site to improve and streamline our services to our users. Google Analytics data assists us to recognise ineffective content, broken links, popular and unpopular content. We will also be able to identify usage trends, websites that are responsible for increased visits etc.
 

Who we share your data with

PicTrax does not share personal details about our users with any third party. PicTrax may share information about visitor numbers with the following organization types; analytics and customer relationship management third party plugins, Tourism data gathering organizations and advertisers and potential advertisers.
 

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes, or are unable to delete. PicTrax is committed to protecting users’ uploaded content however is not capable of protecting against all possible eventualities, and as such PicTrax will not be held responsible for any loss of profile content, uploaded or contributed content, comments, data, records, etc.

Where we send your data

Visitor comments may be checked through an automated spam detection service.

Your contact information

Your contact information will be kept in email when submitted through form submission, however this may be deleted after the issue has been dealt with and no further correspondence is expected.
Registered PicTrax app users’ account data will be accessible and editable by PicTrax support staff in response to: User support requests, user reported content investigation, user account access issues, and/or any identified potential violation of PicTrax terms of Service.

Additional information

How we protect your data

Account access: PicTrax users accounts are accessible via user input email address and password. Users are solely responsible for ensuring their username and password data kept private. PicTrax will not be held liable for any third party access using this data.

How we cannot protect your data

User submitted content: Users are able to contribute several types of content to the PicTrax app and PicTrax website which may contain personally identifiable data, including profile information, profile photo, user name, Geo-tagged images, comments, form submissions etc. Users are solely responsible for the content uploaded to or associated with their accounts and PicTrax will not be held liable for any negative impact resulting from the public sharing of such data. PicTrax app users are reminded to be aware of and avoid uploading content to this public platform that can identify personal information about the user, including but not limited to personal routines, often visited locations such as home, work, school or gym or personal belongings as other users may use to identify you and/or use to your disadvantage. PicTrax will not be held responsible for any breach, loss, trauma, damages, theft, assault, harassment or inconvenience resulting from any user’s mishandling of content willingly uploaded to this public platform.

What data breach procedures we have in place

PicTrax security protocols including usage monitoring and system backups are in use to protect against hacking attempts on the system. PicTrax uses minified code and disabled right click to protect against access to code. PicTrax used a watermark over users’ high-res images to  protect against users’ content being retrieved by screenshots or screen grabs. PicTrax has clearly stated its End User obligations and Prohibition of Use in its Terms of Service document which can be accessed at the following URL: any breach of these Terms of Service may result in PicTrax profile deletion or suspension, content deletion, or legal action depending on the severity of the breach.

What third parties we receive data from

At this point PicTrax does not receive personal data from any third parties.

What automated decision making and/or profiling we do with user data

At this point PicTrax does not have any automated profiling, marketing profiling or automated decision making data systems.
